Tracking a document

Once a document is sent you can see exactly where it is, chase anyone who hasn’t signed, and step in if something changes.

What each status means

  • Draft: not sent yet. Scheduled means it will send at the time shown.
  • Waiting for signatures: sent, and waiting on at least one person. Underneath you see whether it has been opened and any deadline. “Waiting on you” means it is your turn.
  • Completed: everyone has signed. The signed PDF is ready.
  • Declined: someone declined, so it is closed. See When someone declines.
  • Expired: the deadline passed before everyone signed.
  • Cancelled: you cancelled it, so it can no longer be signed.

At a glance in your list

On the Documents page each document shows its signers as initials that turn green as they sign, with “1 of 3 signed” and who it is waiting on. Hover over a person to see when they opened or signed it. The Next reminder column shows when the next automatic reminder goes.

The document page

Open a document to see everything about it:

  • Signers: each person with their state: Not opened, Opened, Signed, Approved, Declined, or Waiting for their turn.
  • Reminders: the schedule, when the next one goes and how many have been sent.
  • Activity: every step with its date and time in UK time: created, sent, opened, reminded, signed and so on. The same trail is added to the signed PDF.
  • Document fingerprint: a unique code for the original file and the signed copy. See Signed copies and checking a document.

We never record anyone’s IP address, location or device. The trail records only what happened and when.

Remind people

  • Remind in your document list reminds everyone who is waiting at once and tells you if anyone was skipped.
  • Remind next to a person on the document page reminds just them.
  • You can send up to 3 reminders yourself to each person, no more than one a day, on top of the automatic ones.
  • To change the automatic schedule after sending, choose Change on the Reminders card. It only changes future reminders; nothing is sent there and then.

Let someone sign in person

If the signer is with you, choose Sign in person next to their name. A QR code appears: they scan it with their phone, or you choose Open on this device and hand it over. The link works for 20 minutes and only for their part. The trail records that they signed in person. Only use this for someone who is actually with you.

Being told what happens

You are told when someone opens your document for the first time, signs, declines, when a deadline is close and when everyone has finished, in the bell at the top of the page and by email. Choose which you want in Account, Preferences, Notifications. See Account settings and notifications.

Cancel a document

Changed your mind, or spotted a mistake after sending? On the document page choose Cancel and confirm with your password. Nobody can sign it any more, and signers who open their link are told it was cancelled. This can’t be undone. To send a corrected version, use Duplicate, make your changes and send the copy.
