Editor time-savers

The editor has a few tools that save a lot of clicking, especially on long documents or ones you send often. Most are in the Actions menu in the toolbar.

Find signature lines

  1. Choose Actions, then Find signature lines.
  2. We read the document for labels such as “Signature:”, “Date”, “Print name”, “Initials”, “Email”, “Job title” and “Company” next to a line or space to fill in, and list what we found. Everything starts ticked.
  3. Untick anything you don’t want. If there is more than one signer, choose who they are for under Place them for.
  4. Choose Place (the button shows how many fields). Each one is placed on its line, in the right type. Spots that already have a field are skipped.

It works on documents with real text. A scanned page is a picture, so there is nothing to read; place those fields yourself.

Initial every page

Choose Actions, then Initial every page, to add an initials box for the selected signer on every page that doesn’t have one. If they already have an initials box, the others go in the same spot on each page; otherwise they go at the bottom right. It is a single step, so Ctrl+Z removes them all.

Saved blocks

A block is a group of fields you use often, such as a signature, a printed name and a date laid out together. Save it once and drop it on any document for anyone.

  1. Select the fields (Shift and click, or drag a box around them).
  2. Choose Actions, then Save … fields as a block (it shows how many you selected), and give it a name such as “Signature, name and date”.
  3. To use it, open Saved blocks in the left panel, pick the block and click where it goes. It is placed for the person selected under Placing fields for.

A block remembers the field types, sizes, settings and how they are arranged. It never remembers who signs or anything filled in. You can keep up to 50 blocks; deleting one asks for your password.

Preview as a signer

Choose Preview in the top bar and pick a person under As. You see exactly what they will see: their fields, filled-in names and dates, and conditional fields appearing as answers are given. It tells you how many fields they have and how many are required. Nothing is sent and nothing can be changed here. Choose Close preview to go back.

Everything in the Actions menu

  • Manage pages: turn, reorder, copy, remove or add pages. See Changing pages and editing text.
  • Save as a block, Find signature lines and Initial every page: described above.
  • Save as a template: keep this document set up to use again. See Templates.
  • Make a copy: a new draft with the same file, people and fields.
  • Apply my new-document settings: resets the signing order, deadline, reminders and message to your defaults from your account.
  • Remove all fields: clears every field (Ctrl+Z brings them back).
  • Delete draft: deletes the draft for good, after asking for your password.
