Folders: keeping a project’s documents together

Updated 20 October 2026

Folders give your documents a structure: one folder per client, job or project, with folders inside it if you need them. They are on every plan.

Make a folder

Your folders are listed on the left of the Documents page (on a phone, choose Folders at the top of the list). All documents always shows everything, so folders never hide anything.

  1. Choose + next to My folders (or next to your team’s name, for a folder the whole team shares).
  2. Type a name, such as a client, an address or a job number, and choose Make folder.
  3. To put a folder inside another, open the folder and choose New folder here, or choose New folder inside from a folder’s ⋯ menu. Folders go up to five levels deep.

Move documents into a folder

  • One document: choose Move to folder… in its ⋯ menu, pick the folder and choose Move. You can also do it from the document’s own page: its folder is shown at the top, with a Move button.
  • Several at once: tick the box next to each document (or the box at the top to tick the whole page), then choose Move to folder… in the bar that appears.
  • New documents: a PDF you upload while you are in a folder, with New document or by dropping it on the page, goes straight into that folder. A copy made with Duplicate, and a corrected version after someone declines, stay in the same folder as the original.
  • To take a document out of folders, move it to Not in a folder. Moving a document doesn’t change its Updated date.

Find your way around

  • Choose a folder to see what is in it. The path at the top shows where you are; choose any part of it to go back up. Folders inside it show as tiles above the list.
  • The tabs (Waiting, Completed and so on) work inside a folder. A search inside a folder also looks in the folders inside it.
  • Not in a folder shows everything you haven’t filed yet, which is handy when you start sorting.
  • In All documents, each filed document shows its folder under its name. Choose it to open that folder.

Folders on a team

A team has its own folders, shared with everyone in it, so a project folder looks the same for everybody and anyone can find its documents. Anyone in the team can make a team folder. The person who made a folder, the team’s owner and admins can rename, move or delete it.

Documents the team can see go in the team’s folders. A private document goes in My folders, which only you see. If you make a document private (or visible to the team again), it comes out of a folder that no longer suits it and stays in All documents. Only someone who can change a document (the person who created it, the owner or an admin) can move it.

Starting a team turns your own folders into the team’s, with your documents still in them. Someone who leaves the team takes their documents with them; the folders stay with the team.

Rename, move, download or delete a folder

  • Rename… and Move… are in the folder’s ⋯ menu (in the folder list, or at the top when you are in it). Moving a folder moves everything inside it.
  • Download signed copies gives you one zip file with the signed PDF of every finished document in the folder and the folders inside it, laid out the same way. Up to 100 documents and 50 MB at a time; for a bigger folder, download the folders inside it one by one.
  • Delete folder… asks you to type “delete” to confirm. It never deletes a document: everything in the folder, documents and folders, moves up a level.

Folders and labels work together. A folder is where a document lives, and it is shared on a team. Labels are your own tags, which nobody else sees, and a document can have several. For example: a folder per client, and a “Waiting for payment” label across them.
