Field types and their settings

Each field type collects something different. This page explains what each one does for your signer and which settings you can change. Select a field on the page to see its settings on the right.

Signature fields

  • Signature: where they sign. They can draw it, type their name in a handwriting style, or upload a picture of their signature.
  • Initials: a short sign-off, often used at the foot of each page.
  • Date signed: fills itself in with the day they sign. It is set by us, not by their device, so it can’t be backdated. Choose how it looks under Settings: 9 Oct 2026, 09/10/2026, 9 October 2026 or 2026-10-09.

Each person who signs needs at least one Signature field. Approvers don’t.

Signer details

  • Name and Email: filled in automatically with the signer’s name and email address. They can’t change them.
  • Company and Job title: the signer types them in.

Inputs

  • Text: a typed answer, such as an address or a reference.
  • Number: digits only. You can set the Smallest and Largest allowed and the Decimal places (any, whole numbers only, or 1 to 4; 2 is right for money).
  • Checkbox: a box to tick, for example to agree to something.
  • Dropdown: they pick one answer from a list you write.
  • Radio buttons: they tick one of a few options, all shown at once. On the signed PDF they appear as a row of circles with their choice filled in.

For a dropdown or radio buttons, type your choices under Options, one per line, pressing Enter after each. You need at least two and can have up to 20. Their answer must be one of your options.

Notes

A Note is a message to the signer shown next to a spot on the page, such as “Please check the delivery address”. Type it under Your note (up to 500 characters). It is never required, the signer doesn’t fill it in, and it isn’t printed on the signed copy.

Settings you can change

  • Required: on by default for most fields. The signer must complete a required field before they can finish. Turn it off for anything optional. (Dates, names, emails and notes don’t have this switch.)
  • Most characters: for Text, Company and Job title, the longest answer allowed (1 to 500).
  • Text size on the signed copy: “Automatic (fits the box)” or a fixed size from 8 to 18 point.
  • Label shown to the signer: a short hint for typed fields and checkboxes, such as “Your postcode”.
  • Assigned to: who the field belongs to.
  • At the bottom: Duplicate and Delete.

Fields that only show when needed

On the Solo and Teams plans, a field can be set to appear only when the same signer has given a certain answer. In the field’s settings, under Show only when, choose a checkbox, dropdown or radio buttons belonging to the same person, and the answer that should make this field appear.

For example: a checkbox “I have a second address” with a Text field that shows only once it is ticked. A hidden field is never required, and anything typed into it is not kept. Conditional fields show a small “if” mark in the editor, and Preview shows them appearing as the answers are given.
