Confidential documents and access codes
For anything sensitive you can make sure only the right person can open the document, even if their email is read by someone else. These options are on the Lite, Solo and Teams plans.
Confidential documents (two emails)
On the Review screen, answer Yes, keep it private to Is this document confidential? When you send:
- each signer gets an email with their link, which doesn’t name the document or include your message, and says the code is in a separate email;
- a second email gives them an 8-character access code, with no link and no document name;
- they need both to open the document;
- every reminder comes with a new code, and the old one stops working;
- when it is finished, the signed copy is not attached to the emails; people get a secure download link instead, and the emails to signers don’t name the document.
Copies, templates and corrected versions of a confidential document stay confidential. The document shows a Confidential badge.
Set your own access code
You can also give a signer a code yourself and tell them it by phone or text, so it never travels by email at all. In the people panel, choose the key button next to their name.
- Type a code of 4 to 20 letters or numbers, or choose Make a new code for one without look-alike letters.
- Choose Copy and keep it somewhere safe for now: once set, it can’t be shown again.
- Choose Set the code. Tell the signer the code another way, such as by phone.
Their emails say a code is needed but never include it. A code you set yourself is never emailed, even on a confidential document. You can change it or choose Remove the code until you send.
What the signer sees
Their link opens a page asking them to Enter the access code. Once it is right they can sign, and stay unlocked for two hours. After 5 wrong tries the link pauses for 15 minutes. They can decline without the code. The activity trail records that the right code was entered.
