How to get a document signed by several people

Choose the signing order

• Everyone at once. All signers get their link straight away and can sign in any order. This is the fastest option.
• One after another. The second person only receives their link once the first has signed, then the third, and so on. Use this when later signers need earlier signatures or approvals in place first, for example a manager signing before a client.

Give each person their own fields

Assign every field to a specific signer. Each person only sees and completes their own fields, and each is colour-coded in the editor so you can check nothing is missing. Mark fields as required so nobody can finish without filling them in. A document can have up to 10 signers.

Set a deadline

Choose 7, 14, 30 or 60 days. If the document is not finished by then it closes automatically, so an old link cannot be used later, and you get a warning the day before so you can chase anyone who is outstanding.

Let reminders do the chasing

If you leave automatic reminders on, anyone who has not signed is nudged after 2, 5 and 9 days. Reminders are gentle: at most three per document and never more than one a day. You can switch them off for any document, or send one yourself when you want to.

If someone declines or something changes

A signer can decline and give a reason, and you are told straight away. If the document needs to change, cancel it and send a corrected version rather than asking people to ignore the first one.

Keep track

The document page shows who has been sent the document, who has opened it and who has signed, each with a time. When the last person signs, everyone is told it is complete and you can download the signed PDF with its activity trail.

Reuse the setup

If you send the same kind of document regularly, duplicate it or save it as a template so the signers, fields and settings are ready next time.
